SMALL ELECTRICAL · HVAC · PLUMBING · PROPERTY MAINTENANCE SHOPS

Your crew does the work. Keep the job record clear.

Small contractors do not need a giant software rollout just to know what happened yesterday. Start with four consistent closeout questions, then add only the field tools your business actually needs.

No sign-up required for the free checklist. Paid products are original standalone ZIP downloads; they do not sync with payroll, Procore, Autodesk or dispatch software.
START HERE: YOUR DAILY CLOSEOUT

Four questions every crew can answer.

Ask the same questions at the end of every shift. The point is a usable record, not more administration.

01

Who was here?

List actual workers and hours by activity. Make late starts or split crews explicit.

02

What work finished?

Name the floor, room, equipment or work area; record installed quantities when known.

03

What prevented progress?

Capture material shortages, incomplete access, drawings, inspections and coordination holds.

04

What comes next?

Define the first task for the next shift, an owner and any prerequisite.

AN EXAMPLE FROM THE FIELD

One electrical crew, one useful handoff

Today: Three electricians installed lighting rough-in in rooms 201–208 and entered a combined 23 crew-hours. Work in 209 stopped pending ceiling access. Tomorrow’s first action is to check access with the GC and finish the remaining room. Numbers are illustrative, not an actual customer result.

That short note gives an owner, superintendent or next-shift foreman the information needed to prioritize work—without promising that a tool will calculate field conditions for them.

KEEP YOUR SYSTEM RIGHT-SIZED

Choose a workflow for your shop.

Owner-operator or 1 crew

Goal: One repeatable closeout record every workday

Review: 5 minutes at shift-end

Suggested tools: Free checklist first; then a standalone daily report if it saves retyping

2–5 small field crews

Goal: Same fields for every crew and a weekly review of missed handoffs

Review: Daily records, weekly 20-minute review

Suggested tools: Daily field report plus a separate materials request and 4-week plan when needed

Growing shop or multiple jobs

Goal: Measure earned versus actual entered labor on a few repeated activities

Review: Daily entries, weekly quantity/labor comparison

Suggested tools: Optional $39 tracker with your own estimated unit allowances; no automatic measurements

Questions before buying

Does this automatically connect to our existing field or accounting software?

No. The downloadables are offline tools. You save and back up their records yourself, and any information you enter should be checked before use in pay, billing, schedule or contractual reporting.

Does it work for maintenance or home-service companies too?

Yes, the recordkeeping ideas are broadly applicable to small trades and repair crews. However, the ZIPs are generic tools rather than specialized CMMS, work-order dispatch or estimating platforms.

Why start with a free checklist?

Try a consistent closeout without buying anything. If the routine proves useful, a more structured log or tracker may be worth considering. Use the free checklist.
